How to Complete Your Medical Staffing Agency Profile in Less than 24 Hours

Filling out your profile for multiple medical staffing agencies can feel like a daunting task. But it doesn’t have to be if you are prepared. You can start now by getting your information and documentation in order to build your virtual profile. Once your first comprehensive profile is complete, your next profile will be quick and painless. 

PRO TIP: If you plan to travel for your medical career, ALWAYS keep a virtual and hardcopy of your profile handy. Carry a hardcopy in case of an emergency, system failure, natural disaster, or a facility that doesn't have a critical form. The virtual copy is for instant completion with a new agency and will help you get that dream job before someone who is less prepared. Quick completion shows you are organized and ready at a moment's notice. And you will make a great first impression.

Below are the necessary steps for preparing your virtual profile so future profiles can be completed in less than 24 hours. 

  1. Apply Online. Be sure to complete all disclaimers. (The release to conduct a background check is in the disclaimer.)
  2. Attach your resume and be sure it includes the following:
    1. Full name
    2. Title
    3. Email
    4. Phone Number
    5. Past employment with NO lapse in time. If there is a lapse of time without work, include the reason for the lapse. Example: Oct 9 2022 to Jan 2 2023 had a child or cared for a terminally ill parent. Facilities require this and want to know your experience is current and fresh
    6. Include references – 2 Professional (supervisors) 1 Character – someone who has known you along time
    7. Include certifications with expiration dates. Be sure it's from the AHA. If you do not already have NIHSS, do it online. Anyone can have a stroke anywhere at any time. All healthcare professionals should be prepared.
  3. Schedule your interview – A professional agency will likely do an interview via video conference. 
    1. Be sure to dress appropriately. 
    2. Prepare questions (remember you are interviewing them too). 
    3. If you don’t click with your recruiter, ask for another. If you still do not click, find another agency or ask for a manager and explain your concerns. Remember, they need your skills as much as you need their job openings.
  4. Gather your Required Documents ASAP. Some of these documents can take weeks to receive. – So get them now.  
    1. License Verification – Can be done online and printed and uploaded
    2. Obtain a physical copy of your license
    3. Have a copy of a bill with your name and address on it.  This is for your & the agency's  protection if you are getting a stipend and you get audited. It will prove you are traveling the appropriate amount of miles to claim the stipend.
    4. State Police Check – Most states can be accessed online for under $25
    5. Child Abuse Clearance -This is NOT the class.  This is a background check.
    6. FBI check – http://uenroll.identogo.com – Ask for the agency codes first
    7. Copy of Professional Degree or Transcript
    8. Employment verification – Have contact information including email address ready
    9. Motor Vehicle Record and Insurance Declaration Page - Professional agencies will require this because you are covered under their insurance while you are working. Agencies that care about their travelers will let them know any claims while traveling for the agency can be filed through the agency’s insurance.
    10. Medical Physical – Insurance should pay and the agency you work for should reimburse the deductible
    11. Immunization Titers including QuantiFERON Gold, Varicella, Hep B, Tdap, MMR – Your doctor can order these for you and the agency you work for should reimburse the co pay
    12. Copy of your FLU vaccine – Be sure it’s up to date
    13. Copy of your CoVid vaccines AND Boosters or Exemption
    14. Copies of ALL current certifications – Be sure they are not expired – BLS, ACLS, NIHSS, PALS, NRP, STABLE, etc.
    15. We recommend faxing the below information. (Agencies may request email but fax is more secure for your private information.) Professional agencies will have a fax machine.
      1. Copy of your active drivers Lic
      2. Social Security Card
      3. Passport – Not always needed
      4. Birth Cert – Not always needed
      5. Voided Check
      6. Completed I9 – Can get online check the date in the upper right corner

If you send all of these materials together, you will impress your new recruiter and they will be singing your praises to everyone in the office. You will be building your reputation right off the bat.

There will be a few more steps to complete before you are hired:

  1. Drug screen which is normally an instant read but will require travel time, printing, signing and returning
  2. Complete a Medical Insurance application if you want health insurance (You often receive more money if you don’t want health insurance)
  3. Complete competency testing, character testing, and skills checklist for your agency and for some facilities (Can be completed in 1 day and usually takes 4 to 8 hours)
  4. Complete a direct deposit form (The hiring agency will send you this form)
  5. Complete other forms which normally only require a signature and date
